This policy describes visitor data handled by this Helin website, including calculators, assessments, sandbox requests, cookie preferences and Insights accounts. It does not replace separate privacy information for employees, job applications or the Helin industrial platform. The lawful bases, retention schedule, hosting locations and international-transfer arrangements below still require Helin’s legal approval.
1. Who is responsible?

2. What we collect and why

3. Automatic calculator and assessment capture
When a tool displays a result, the website automatically saves the inputs and results, including initial examples where displayed and recalculations after values change. There is no separate submit button for this capture. Results are stored separately for each calculator or assessment in Lovable Cloud. Some fit-assessment submissions also exist in a legacy assessment record store.
This result-capture feature does not store IP addresses, hashed IP identifiers or persistent visitor identifiers. Country is taken from hosting-provided location information, not saved IP addresses; it is recorded as unknown when unavailable. A record identifier identifies a saved result, not a person across visits. We do not link these result records to an Insights account.
Not storing IP addresses does not guarantee that every entry is anonymous. Values or free-text information could still identify a person or organization. Hosting and other service providers may process IP addresses independently to deliver their services.
Calculator capture operates independently of the optional-video cookie setting. Reject optional stops optional media; it does not stop calculator or assessment result storage. The lawful basis for this automatic collection still requires legal review.
4. Where information is stored and who can see it
Calculator results, assessment submissions, enquiries, sandbox requests and withdrawal requests are saved in this website’s Lovable Cloud database. Insights credentials and sessions are handled by its authentication service. Cookie preferences are stored in your browser, not in the calculator-results tables.
Insights results and country summaries are available only to signed-in accounts with a verified @helindata.com email address. Ordinary website visitors cannot read these records. Enquiries, sandbox requests and withdrawal requests are not publicly readable. Administrative service access is separate from the visitor-facing website.
Database access rules and server-side checks restrict access to results. Insights is also marked not to be indexed by search engines or AI crawlers; these indexing instructions are not a substitute for access controls. No system can guarantee absolute security.
The precise hosting regions, backup arrangements, processor contracts and safeguards for transfers outside the European Economic Area have not yet been verified for this policy. We do not claim that all data stays in the EU.
5. Cookies, browser storage, HubSpot and Vimeo
Your choice is saved in local storage under helin-cookie-consent for 180 days, after which the website asks again. If browser storage is unavailable, the preference may not persist. You can reopen Cookie settings in the footer to change your choice.
HubSpot analytics (EU data centre) loads only after you allow analytics. Once allowed, HubSpot sets cookies and receives connection information such as your IP address and browser details to measure page visits. Withdrawing permission stops HubSpot loading; clear existing cookies in your browser. See HubSpot’s privacy policy.
Optional Vimeo players remain blocked until you allow external media. Once allowed, Vimeo receives connection information such as your IP address and browser details and may use cookies or similar technologies. Withdrawing permission removes the player but does not delete cookies previously set by Vimeo; you can clear those in your browser. See Vimeo’s privacy policy.
Insights sign-in uses essential browser session storage to maintain authentication. Signing out clears the local sign-in session; it does not delete the account or saved calculator results. Cookie consent does not control this essential authentication storage.
No optional analytics or advertising tracking scripts are currently configured in this website’s application code. This does not mean that the site collects no usage information: calculator capture is described above, and hosting-level logging still requires verification.

6. Requests and external links
Sandbox requests are stored for review. The current request form does not automatically send an acknowledgement email or provision a sandbox. Disabled newsletter subscription forms do not submit a subscription.
Job applications open on Personio, and documentation and social links lead to separate services. Those services have their own privacy notices. Fonts and some images are fetched from external providers, which receive connection information when resources load. An external request does not by itself establish that tracking cookies are used.
7. How long information is kept
- Cookie preferences: 180 days in your browser, unless you clear site data earlier.
- Calculator and assessment records: no automatic deletion schedule is currently configured; records remain until deleted through administration.
- Consent records: when you submit a form, we store that you ticked the consent box, the exact wording shown, its version and the time, so we can show what you agreed to.
- Sandbox requests: no automatic deletion schedule is currently configured.
- Insights accounts: retained until removed through account administration; signing out does not delete an account.
- Provider logs, backups and third-party cookies: retention periods have not yet been verified.
Helin must approve a retention schedule and arrange deletion for records that are no longer needed. This draft does not promise an unimplemented 90-day deletion limit.
8. Legal basis and your choices
Optional analytics and external media are enabled using your cookie choice, which you can withdraw at any time via Cookie settings in the footer. Newsletter emails are sent only with your consent; unsubscribe using the link in any email, on our unsubscribe page or by emailing privacy@helindata.com. Consent given on request forms can be withdrawn yourself on the unsubscribe page or by emailing privacy@helindata.com. The appropriate legal bases for calculator capture, request handling, account administration and essential service processing must be confirmed by Helin before this policy is finalized; they are not asserted as settled in this draft.
Where the GDPR applies, you may have rights to access, correct or erase your personal data, restrict or object to processing, and receive portable data, depending on the circumstances and applicable exceptions. Withdrawing consent does not affect processing that was lawful before withdrawal.
Email privacy@helindata.com with your request. Include enough context to locate relevant information, such as the form used, approximate date or calculator page, but do not send passwords. Because calculator results have no persistent visitor identifier, we may not be able to identify a particular visitor’s records from an email address alone. We may need proportionate information to verify a request.
You may also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, or your relevant supervisory authority.
9. Changes and review
We will update this policy when the website’s data practices change. This is a site-specific draft, not a completed legal assessment. Outstanding review includes lawful bases, retention, service-provider details, international transfers and cookies or logs on the published website.
